Evaluating Strategic Meetings Management Programs

In 2004, the NBTA Groups and Meetings Committee published the white paper, Framework for Success: Building a Strategic Meetings Management Program, to provide guidelines for travel buyers responsible for the development and management of Strategic Meetings Management Programs (SMMPs). That paper offered NBTA Direct Members a range of tools including commonly used terminology, definitions, cost/benefit analysis techniques, and best practice methodologies. This document, the next installment in the Framework for Success series, focuses on the benefits resulting from the creation of such a program, most significantly the return on every dollar invested in the SMMP.

This document is comprised of four sections. The first section, entitled Framework, provides an overview of tangible and intangible returns possible from a SMMP, noting that the components of valuation vary from company to company. This section also outlines a method for evaluating or measuring the success of a SMMP initiative. The second section, Sources of Return on Investment, drills down into the returns to explain where savings may be realized as a result of investing in the program. Case studies are provided wherever possible to demonstrate the value and benefits of SMMPs. The Next Steps section recommends steps necessary to achieve similar results. Finally, the Conclusion summarizes the information presented and provides a list of related papers on this topic.
